Working with Document Workspaces

Creating a Document Workspace on a SharePoint Site

1To access the Team Web Site, click Start, and then click Internet.
2To view a list of existing document libraries, on the Team Web Site Home page, on the top link bar, click Documents and Lists.
3To open the Plant Descriptions document library, on the Team Web Site Documents and Lists page, in the Document Libraries section, click Plant Descriptions.
4To create a document workspace for the Fosters Holly document, on the Team Web Site Plant Descriptions page, point to Fosters Holly.
5Click the arrow that appears to the right of the document name, and then click Create Document Workspace.
6To complete creating a document workspace, on the Team Web Site Create Document Workspace page, click OK.
7To go to the Team Web Site home page, on the Fosters Holly Home page, on the top link bar, click Up to Team Web Site.
8To begin creating a Team Web Site element, on the Team Web Site Home page, on the top link bar, click Create.
9To create a document workspace for a new document, on the Team Web Site Create Page, click three times below the scroll box on the scroll bar.
10In the Web Pages section, click Sites and Workspaces.
11To specify a title, description, and address for the document workspace, on the Team Web Site New SharePoint Site page, for the purposes of this exercise, press SPACEBAR to have the details typed for you.
12To create the new document workspace with the default properties, on the Team Web Site New SharePoint Site page, click once below the scroll box on the scroll bar, and then click Create.
13To finish creating the new document workspace, on the January Template Selection page, click once below the scroll box on the scroll bar, and then click OK.

Creating a Document Workspace in an Office 2003 Program

1To view a list of existing document libraries, on the Team Web Site Home page, on the top link bar, click Documents and Lists.
2To open the Plant Descriptions document library, in which you want to place the document, on the Team Web Site Documents and Lists page, in the Document Libraries section, click Plant Descriptions.
3To create a new document by using the document directory’s default template, on the Team Web Site Plant Descriptions page, on the toolbar, click New Document.
4To confirm that you want to use the default template for the new document, in the Microsoft Internet Explorer message box, click OK.
5To type text in the new document, for the purposes of this exercise, press SPACEBAR, to have the title of the document typed for you.
6To save the new document, click the File menu, and then click Save.
7To save the new document with a new name in the document library, in the Save As dialog box, press SPACEBAR, wait until the file name is typed for you, and then click Save.
8To display the task pane in the Microsoft Word window, click the View menu, and then click Task Pane.
9To display the Shared Workspace task pane, in the task pane on the right side of the screen, click the Getting Started arrow, and then click Shared Workspace.
10To display a list of the documents in the Plant Descriptions document library, in the Shared Workspace task pane, click the indicated Documents tab.
11To create a document workspace for the open document, in the Shared Workspace task pane, on the Documents tab, point to the currently open document.
12Click the arrow that appears at the end of the file name, and then click Create Document Workspace.
13To confirm that you want to create the document workspace, in the Microsoft Office Word message box, click Yes.

Working with the Shared Workspace Task Pane

1To view the list of members who can use the document workspace that you have created for the Water Oak document, in the Shared Workspace task pane, click the indicated Members tab.
2To begin adding a member to the document workspace, in the Shared Workspace task pane, on the Members tab, click Add new members.
3To add a member, in the Add New Members dialog box, for the purposes of this exercise, press SPACEBAR to have the new member's network alias typed for you.
4To give the new member permission to add content to existing libraries and lists, in the Choose site group section, in the Assign a site group to the members above drop-down list, ensure that Contributor is selected, and then click Next.
5To complete the process of adding the new member, in the Add New Members dialog box, click Finish.
6To view the e-mail invitation that is created for a new member, in the Add New Members message box, select the Send an e-mail check box, and then click OK.
7To close the e-mail message and continue, in the message window, click the Close button, and then in the Microsoft Office Word dialog box, click No.
8To view the tasks list for the document workspace, in the Shared Workspace task pane, click the indicated Tasks tab.
9To begin creating a document workspace task, in the Shared Workspace task pane, on the Tasks tab, click Add new task.
10To enter the task title and description, in the Task dialog box, press SPACEBAR to have the task details entered for you.
11To assign the task to Mike Galos, in the Task dialog box, click the Assigned to drop-down arrow, and then click Mike Galos.
12To assign a due date to the task, in the Task dialog box, click the Due date drop-down arrow, and then in the October calendar, click 10.
13To save the new document workspace task, in the Task dialog box, click OK.

Publishing a Document in a Document Library

1To begin publishing a document from a document workspace, on the Team Web Site Plant Descriptions page, on the top link bar, click Documents and Lists.
2To display a list of document workspaces, on the Team Web Site Documents and Lists page, on the left side of the page, in the See Also section, click Document Workspaces.
3To open the workspace of the Fosters Holly document, which you want to publish, on the Team Web Site Sites and Workspaces page, click Fosters Holly.
4To publish the Fosters Holly document, on the Fosters Holly Home page, in the Shared Documents section, point to Fosters Holly, click the arrow that appears, and then click Publish to Source Location.
5To confirm that you want to replace the original document with the version from the document workspace, on the Fosters Holly Publish to Source Location page, click OK.
6To return to the Team Web Site Home page, on the Confirmation page, click Home, and then on the Fosters Holly Home page, click Up to Team Web Site.
7To confirm that the document has been published to the document directory, on the Team Web Site Home page, on the top link bar, click Documents and Lists.
8To open the document library to which you published the document, on the Team Web Site Documents and Lists page, in the Document Libraries section, click Plant Descriptions.

Deleting a Document Workspace

1To begin deleting a document workspace, on the Team Web Site Plant Descriptions page, on the top link bar, click Documents and Lists.
2To view the document workspaces of which you are a member, on the left side of the Team Web Site Documents and Lists page, in the See Also section, click Document Workspaces.
3To select the document workspace that you need to delete, on the Team Web Site Sites and Workspaces page, in the Delete column, click the Delete (X) icon corresponding to the Fosters Holly document workspace.
4To confirm that you want to delete the selected document workspace and its associated content and user information, on the Team Web Site Delete Web Site page, click Delete.
5To close the Internet Explorer window, on the title bar, click the Close button.
