Using Windows SharePoint Services with InfoPath 2003

Creating a Form Library from InfoPath 2003

1To begin creating a form library by using InfoPath, click Start, point to All Programs, point to Microsoft Office, and then click Microsoft Office InfoPath 2003.
2To select the default form template for the library, in the Fill Out a Form window, in the Sample Forms area, click once below the scroll box on the scroll bar, and then click Purchase Order.
3To open the selected form, in the right pane, on the Form tasks menu, click Design this Form.
4To begin publishing the selected form, in the (Design) Template1 window, in the Design Tasks pane, under Tasks, click Publish Form.
5To begin using the Publishing Wizard, on the Welcome to the Publishing Wizard page, click Next.
6To publish the form to the SharePoint site, under Where do you want to publish this form, click To a SharePoint form library, and then click Next.
7To accept the default option of creating a new form library based on the selected form, click Next.
8To specify the SharePoint site where you want to create the form library, for the purposes of this exercise, press SPACEBAR, wait as the URL is typed for you, and then click Next.
9To enter a name for the form library, press SPACEBAR, wait as the text is typed for you, and then press TAB.
10To enter a description for the form library, press SPACEBAR, wait as the text is typed for you, and then click Next.
11To create the form library and include all of the form's fields as columns on the form library page, click Finish.
12To view the new form library on the SharePoint site, click to select the Open this form from its published location check box, and then click Close.
13To open a new blank form based on the form library's template, on the Team Web Site Purchase Orders page, on the toolbar, click Fill Out This Form.

Modifying a Form Library from InfoPath 2003

1To begin modifying a form or form library from InfoPath, in the Microsoft Office InfoPath 2003 window, click the File menu, and then click Design a Form.
2To modify a form that has been published to a SharePoint form library or the library itself, in the Design a Form pane, under Open a form in design mode, click On a SharePoint Site.
3To specify the location of the SharePoint site, in the Open from SharePoint site dialog box, click the Enter the location of your SharePoint site arrow, click http://gardenco, and then click Next.
4To modify the default form for the selected form library or the library itself, click Open.
5To begin making changes to the form library, in the Design Tasks pane, under Tasks, click Publish Form.
6To begin using the Publishing Wizard, on the Welcome to the Publishing Wizard page, click Next.
7To specify that you want to publish the form to a SharePoint site, under Where do you want to publish this form, click To a SharePoint form library, and then click Next.
8To modify a previously published form library, click Modify an existing form library, and then click Next.
9To specify the location of the form library you want to modify, click the Enter the location of your SharePoint site arrow, click http://gardenco, and then click Next.
10To modify the selected form library, click Next.
11To begin adding a column to the form library, click Add.
12To select the field you want to appear on the form library page, in the Select a Field or Group dialog box, click chargeTo.
13To begin changing the field name displayed on the form library page, in the Column name box, double-click to select the text.
14To finish changing the field name, for the purposes of this exercise, press SPACEBAR, wait as the new name is typed for you, and then click OK.
15To publish the changes to the form library, in the Publishing Wizard, click Finish.
16To view the modified form library, in the Publishing Wizard, click to select the Open this form from its published location check box, and then click Close.

Modifying an InfoPath Form Template from a SharePoint Form Library

1To begin modifying a form template from a SharePoint form library, on the Team Web Site Purchase Orders page, in the left pane, on the Actions menu, click Modify settings and columns.
2To open the InfoPath form template, on the Team Web Site Customize Purchase Orders page, under General Settings, to the right of Template, click (Edit Template).
3To edit the form’s title, in the (Design) template window, click to the left of Purchase Order in the form title bar to select the text, and then for the purposes of this exercise, press SPACEBAR, and the text will be typed for you.
4To save the modified form template on the SharePoint site, in the (Design) template window, click the File menu, and then click Save.
5To begin viewing the modified form on the SharePoint site, on the taskbar, click the Customization button.
6To return to the form library, on the Team Web Site Customize Purchase Orders page, click Go Back to "Purchase Orders".
7To view the modified form, on the Team Web Site Purchase Orders page, on the toolbar, click Fill Out This Form.
8To close the form without saving it, in the Form1 window, on the title bar, click the Close button.
9To switch to Internet Explorer, on the taskbar, click the Purchase Orders button.
10To change the general settings, columns, or views of the selected form library, on the Team Web Site Purchase Orders page, in the left pane, on the Actions menu, click Modify settings and columns.
11To begin changing the form library’s name, on the Team Web Site Customize Purchase Orders page, under General Settings, click Change general settings.
12To edit the form library’s name, on the Team Web Site Form Library Settings: Purchase Orders page, triple-click in the Name box to select the text, press SPACEBAR, wait as the name is typed for you, click once below the scroll box on the scroll bar, and then click OK.
13To view the renamed form library, on the Team Web Site Customize Corporate page, click Go Back to "Corporate".

Completing and Editing Forms

1To begin filling out a form, on the Team Web Site Corporate page, on the toolbar, click Fill Out This Form.
2To enter information in the Reference Number field, for the purposes of this exercise, press SPACEBAR, and the reference number will be typed for you.
3To begin saving the form in the SharePoint form library, in the Form1 window, click the File menu, and then click Save As.
4To assign the purchase order reference number as the file name and save the form, in the Save As dialog box, press SPACEBAR, wait as the file name is typed for you, and then click Save.
5To close the form and return to the form library, on the 12345 title bar, click the Close button.
6To verify that the form has been added to the form library, on the Internet Explorer toolbar, click the Refresh button.
7To begin editing the information in the saved form, on the Team Web Site Corporate page, point to 12345, click the arrow that appears, and then click Edit in Microsoft Office InfoPath.
8To specify the first item you want to order, in the 12345 window, click twice below the scroll box on the scroll bar, click [Type item description here.], press SPACEBAR, and the item description will be typed for you.
9To add a second item to the order, click the arrow to the left of Item Number, click Insert Below, click [Type item description here.], press SPACEBAR, and the item description will be typed for you.
10To save the edited form in the SharePoint library, in the 12345 window, click the File menu, and then click Save.
11To close the form and return to the form library, on the 12345 title bar, click the Close button.
12To complete a new form based on the existing form, in the Corporate window, point to 12345, click the arrow that appears, and then click Edit in Microsoft Office InfoPath.
13To change the information in the form, double-click to select the text in the Reference Number box, press SPACEBAR, and the reference number will be changed for you.
14To save the edited form as a new document in the SharePoint form library, in the 12345 window, click the File menu, and then click Save As.
15To save the form with the purchase order reference number as its file name, press SPACEBAR, wait as the file name is typed for you, and then click Save.
16To close the form and return to the form library, on the 12346 title bar, click the Close button.
