Sharing Information by Using Libraries

Creating Document, Form, and Picture Libraries

1To begin creating a library, on the Team Web Site Home page, on the top link bar, click Create.
2To create an empty document library, on the Team Web Site Create Page, in the right pane, under Document Libraries, click Document Library.
3To enter a name for the document library, on the Team Web Site New Document Library page, for the purposes of this exercise, press SPACEBAR, and wait as the text is typed for you.
4To enter a description for the document library, click in the Description box, press SPACEBAR, and wait as the text is typed for you.
5To create the document library, click once below the scroll box, and at the bottom of the page, click Create.
6To begin creating another library, on the Team Web Site Spring 06 Marketing page, on the top link bar, click Create.
7To create an empty form library, on the Team Web Site Create Page, in the right pane, under Document Libraries, click Form Library.
8To enter a name for the form library, on the Team Web Site New Form Library page, press SPACEBAR, and wait as the text is typed for you.
9To enter a description for the form library, click in the Description box, press SPACEBAR, and wait as the text is typed for you.
10To display the form library on the Quick Launch bar, under Navigation, click Yes, and then click below the scroll box.
11To create the form library, at the bottom of the page, click Create.
12To begin creating another library, on the Team Web Site 2006 Promotional POs page, on the top link bar, click Create.
13To create an empty picture library, on the Team Web Site Create Page, in the right pane, under Picture Libraries, click Picture Library.
14To enter a name for the picture library, on the Team Web Site New Picture Library page, press SPACEBAR, and wait as the text is typed for you.
15To enter a description for the picture library, on the Team Web Site New Picture Library page, click in the Description box, press SPACEBAR, and wait as the text is typed for you.
16To create the picture library, click once below the scroll box, and at the bottom of the page, click Create.
17To view the new libraries on the Quick Launch bar, on the Team Web Site Contest Entries page, on the top link bar, click Home.
18To open a document library, on the Team Web Site Home page, on the Quick Launch bar, click Spring 06 Marketing.
19To create a new folder in this document library, on the Team Web Site Spring 06 Marketing page, on the Spring 06 Marketing toolbar, click New Folder.
20To name the folder, on the Team Web Site Spring 06 Marketing: New Folder page, press SPACEBAR, wait as the folder name is typed for you, and then on the Spring 06 Marketing toolbar, click Save and Close.

Adding Content to Libraries

1To begin adding documents to a document library, on the Team Web Site Home page, on the top link bar, click Documents and Lists.
2To open the library you want to add a document to, on the Team Web Site Documents and Lists page, in the right pane, under Document Libraries, click Plant Descriptions.
3To begin transferring a document from your computer to the library, on the Team Web Site Plant Descriptions page, on the Plant Descriptions toolbar, click Upload Document.
4To locate the document on your hard disk, on the Team Web Site Plant Descriptions: Upload Document page, click Browse.
5To select the document, in the Choose file dialog box, double-click The Garden Company, click WaterOak, and then click Open.
6To add the selected document to the library, on the Team Web Site Plant Descriptions: Upload Document page, on the Plant Descriptions: Upload Document toolbar, click Save and Close.
7To return to the home page, on the Team Web Site Plant Descriptions page, on the top link bar, click Home.
8To begin adding pictures to a picture library, on the Team Web Site Home page, on the Quick Launch bar, click Contest Entries.
9To begin transferring the pictures from your computer to the library, on the Team Web Site Contest Entries page, on the Contest Entries toolbar, click Add Picture.
10To locate multiple pictures on your hard disk, on the Team Web Site Contest Entries: Add Picture page, click Upload Multiple Files.
11To specify the folder that contains the pictures you will add, on the left, in the Picture Shortcuts pane, click Add Picture Shortcut.
12To browse to the folder, in the Add Picture Shortcut dialog box, on the Places bar, click My Documents, and then in the dialog box, double-click The Garden Company.
13To select and add the folder, in the Add Picture Shortcut dialog box, click Contest, and then click Add.
14To select all the pictures in the folder, in the Uploading Selected Pictures window, click the Edit menu, and then click Select All.
15To add the selected pictures to the library, in the Uploading Selected Pictures window, in the lower-right corner, click Upload and Close.
16To return to the picture library and view the uploaded photos, on the Team Web Site Contest Entries: Uploading Pictures page, click Go back to “Contest Entries”.

Checking Documents Out and In by Using the Browser

1To begin checking out a document, on the Team Web Site Plant Descriptions page, in the right pane, point to the WaterOak document that has the NEW icon next to it, click the arrow that appears, and then click Check Out.
2To begin checking in the document, on the Team Web Site Plant Descriptions page, point to the WaterOak document that has the NEW icon next to it, click the arrow that appears, and then click Check In.
3To add a comment to the version history, on the Team Web Site Check In page, for the purposes of this exercise, click in the Check In comments box, press SPACEBAR, and the comment text will be typed for you.
4To finish checking in the document and record the comment, click OK.
5To view the version history, on the Team Web Site Plant Descriptions page, point to the WaterOak document that has the NEW icon next to it, click the arrow that appears, and then click Version History.

Checking Documents Out and In by Using Microsoft Office 2003

1To begin checking out a document to edit it in Word 2003, on the Team Web Site Plant Descriptions page, in the right pane, point to the WaterOak document that has the NEW icon next to it, click the arrow that appears, and then click Edit in Microsoft Office Word.
2To acknowledge the warning and continue opening the file, in the Microsoft Internet Explorer dialog box, click OK.
3To check out the open document from within Word 2003, in the Microsoft Word window, click the File menu, and then click Check Out.
4To make a change to the content, in the first sentence, drag the pointer to select the words Water Oak, and then on the Formatting toolbar, click the Bold button.
5To save your changes, click the File menu, and then click Save.
6To check in the file, in the Shared Workspace task pane, click Check in.
7To finish checking in the document without adding a comment, in the Check In Comments dialog box, click OK.
8To exit Word 2003 and return to the SharePoint site, on the document’s title bar, click the Close button.

Deleting Documents and Libraries

1To display the Team Web Site Documents and Lists page, on the Team Web Site Home page, on the top link bar, click Documents and Lists.
2To begin deleting a document from a document library, on the Team Web Site Documents and Lists page, in the right pane, under Document Libraries, click Plant Descriptions.
3To specify the document you want to delete, on the Team Web Site Plant Descriptions page, point to the WaterOak document that has the NEW icon next to it, click the arrow that appears, and then click Delete.
4To confirm that you want to delete the document, in the Microsoft Internet Explorer dialog box, click OK.
5To begin deleting a form library that is no longer used, on the top link bar, click Home.
6To open the library, on the Team Web Site Home page, on the Quick Launch bar, click 2006 Promotional POs.
7To change the library’s general settings, columns, or views, on the Team Web Site 2006 Promotional POs page, in the left pane, on the Actions menu, click Modify settings and columns.
8To delete the selected library, on the Team Web Site Customize 2006 Promotional POs page, click once below the scroll box on the scroll bar, and under General Settings, click Delete this form library.
9To confirm that you want to delete the library, in the Microsoft Internet Explorer dialog box, click OK.
