Configuring and Customizing Outlook


Setting Up a Dial-Up Connection

1 To begin setting up a dial-up connection while working offline, click the Tools menu, and then click E-mail Accounts.
2 In the E-mail Accounts Wizard, notice that View or change existing e-mail accounts is selected, and click Next.
3 To begin changing the settings for your Microsoft ExchangeServer account, click Change.
4 To view more account settings so you can add a dial-up connection, click More Settings.
5 To start modifying your connection settings, in the Microsoft Exchange Server dialog box, click the Connection tab.
6 To connect using your own phone line, under Connection, click Connect using my phone line.
7 To set up a new connection, in the Modem section, click Add.
8 In the New Connection Wizard, notice that Dial-up to private network is selected, and click Next.
9 To specify the telephone number to be dialed to access your office e-mail server, in the Phone number box, type 1-555-555-1234, and click Next.
10 To provide a name for the new connection, in the Type a name you want for this connection box, type LMR-Remote.
11 To complete the connection setup, click Finish.
12 To set LMR-Remote as your default dial-up connection, in the Microsoft Exchange Server dialog box, in the Modem section, click the Use the following Dial-up Networking connection arrow, and then click LMR-Remote.
13 To confirm the changes to your connection settings, in the Microsoft Exchange Server dialog box, click OK.
14 In the E-mail Accounts Wizard, click Next.
15 To save the account settings, click Finish.
16 To begin checking for messages using the dial-up connection, on the Standard toolbar, click Send/Receive.
17 To provide the required authentication to access your e-mail server, in the Connect LMR-Remote dialog box, in the User name box, type jeffp, press the TAB key, and then in the Password box, type jeff.
18 To connect to your e-mail server using the LMR-Remote dial-up connection, click Dial.
19 To check for new messages again, but download only the headers of the messages, click the Tools menu, point to Send/Receive, point to Work with Headers, and then click Download Headers.
20 To begin marking for download the message you have just received, in the Inbox, click the Lunch Meeting message from Chris Hill.
21 Click the Tools menu, point to Send/Receive, point to Work with Headers, point to Mark/Unmark Messages, and then click Mark to Download Message(s).
22 To download the full message, click the Tools menu, point to Send/Receive, point to Work with Headers, point to Mark/Unmark Messages, and then click Process Marked Headers.

Setting Up Secure E-Mail

1 To begin creating an encrypted message, on the Standard toolbar, click the New Mail Message button.
2 To begin encrypting the message, on the Message form's toolbar, click the Options button.
3 To set security properties for the message, in the Message Options dialog box, in the Security section, click Security Settings.
4 To encrypt the message, in the Security Properties dialog box, click the Encrypt message contents and attachments check box to insert a check mark, and then click OK.
5 In the Message Options dialog box, click Close.
6 To discard the message without sending it, click the Close button, and when prompted to save your changes, click No.
7 To begin configuring Outlook to encrypt all outgoing messages, click the Tools menu, and then click Options.
8 To display your security settings, in the Options dialog box, click the Security tab.
9 To encrypt all outgoing messages, in the Secure e-mail section, click the Encrypt contents and attachments for outgoing messages check box to insert a check mark.
10 To digitally sign outgoing messages, in the Secure e-mail section, click the Add digital signature to outgoing messages check box to insert a check mark.
11 To begin changing your security zone settings, which affect HTML messages that you send and receive, in the Secure content section, click Zone Settings.
12 In response to the message warning that you are about to change security settings, click OK.
13 To lower the security level for Restricted Web content, in the Security dialog box, point to the slider, hold down the mouse button, drag downward until the security level reads Medium, and release the mouse button.
14 In response to the message warning you about the recommended security level, click Yes.
15 To allow the security settings to take effect, in the Security dialog box, click OK.
16 To save your changes, in the Options dialog box, click OK.

Setting Advanced E-Mail Options

1 To begin modifying your Outlook preferences, click the Tools menu, and then click Options.
2 To modify your e-mail options, on the Preferences tab of the Options dialog box, in the E-mail section, click E-mail Options.
3 To view additional options, in the E-mail Options dialog box, click Advanced E-mail Options.
4 To modify how frequently Outlook saves messages that you are composing, in the Advanced E-mail Options dialog box, under Save messages, in the minutes box, double-click the number 3, and type 1.
5 To prevent Outlook from saving a copy of messages that you forward to others, in the Save messages section, click the Save forwarded messages check box to clear the check mark.
6 To modify how Outlook notifies you when new messages arrive, in the When new items arrive section, click the Briefly change the mouse cursor check box to clear the check mark.
7 To mark all new messages you send as high priority, in the When sending a message section, click the Set importance arrow, and then click High.
8 To disallow commas from being used as separators between items in the To, Cc, or Bcc boxes, click the Allow comma as address separator check box to clear the check mark.
9 To prevent Outlook from suggesting names of contacts as you type, click the Suggest names while completing the To, Cc, and Bcc fields check box to clear the check mark.
10 To allow the settings to take effect, in the Advanced E-Mail Options dialog box, click OK.
11 To close the E-mail Options dialog box, click OK.
12 To save your revised preferences, in the Options dialog box, click OK.
13 To create a message using the new settings, on the Standard toolbar, click the New Mail Message button.
14 Notice that the message priority is set to High. To discard the message without saving it, click the Close button.
15 To begin revising some of your earlier changes to settings, click the Tools menu, and then click Options.
16 In the Options dialog box, click E-mail Options.
17 To display the advanced e-mail options, in the E-mail Options dialog box, click Advanced E-mail Options.
18 To reset the default priority of all new messages to Normal, in the When sending a message section, click the Set importance arrow, and then click Normal.
19 To put the changed setting into effect, in the Advanced E-Mail Options dialog box, click OK.
20 To close the E-mail Options dialog box, click OK.
21 To save your revised preferences, in the Options dialog box, click OK.

Customizing Outlook

1 To display the Outlook Today page, on the Outlook Bar, click Outlook Today.
2 To begin customizing Outlook Today, in the top-right corner of the Outlook Today page, click Customize Outlook Today.
3 To configure Outlook to always start on the Outlook Today page, on the Customize Outlook Today page, in the Startup section, click the When starting, go directly to Outlook Today check box to insert a check mark.
4 To change the number of days shown in your Outlook Today calendar, click the Show this number of days in my calendar arrow, and then click 7.
5 To change the appearance of the Outlook Today page, in the Styles section, click the Show Outlook Today in this style arrow, and then click Standard (two column).
6 To save and view your changes to the Outlook Today page, in the top-right corner of the Customize Outlook Today page, click Save changes.
7 To close Outlook, click the File menu, and then click Exit.
8 To check whether Outlook opens to the Outlook Today page, on the desktop, double-click Microsoft Outlook.
9 To display the contents of the My Shortcuts group, at the bottom of the Outlook Bar, click My Shortcuts.
10 To begin adding a shortcut to the My Shortcuts group, click the File menu, point to New, and then click Outlook Bar Shortcut.
11 To expand the list of folders under the Mailbox – Jeff Pike folder, in the Add to Outlook Bar dialog box, click the plus (+) sign to the left of Mailbox – Jeff Pike.
12 To add a shortcut to the Deleted Items folder to the My Shortcuts group on the Outlook Bar,, in the folder list, click Deleted Items, and then click OK.
13 To display the contents of the Deleted Items folder, on the Outlook Bar, click Deleted Items.
14 To remove the Deleted Items shortcut from the Outlook Bar, on the shortcut menu, click Remove from Outlook Bar, and when prompted to confirm that you want it removed, click Yes.

Customizing Menus and Toolbars

1 To display the Advanced toolbar in addition to the Standard toolbar, click the View menu, point to Toolbars, and then click Advanced.
2 To begin changing the appearance of menus, click the Tools menu, and then click Customize.
3 To display only basic and frequently used commands on menus, and then show full menus after a short delay, click the Always show full menus check box to clear the check mark.
4 To have menus display with a sliding motion, at the bottom of the Customize dialog box, click the Menu animations arrow, click Slide, and then click Close.
5 To view a menu with the new settings, click the Tools menu.
6 Notice that after a short delay, the full menu slides into view. To modify your menu settings again, on the Tools menu, click Customize.
7 To show full menus again, on the Options tab of the Customize dialog box, click the Always show full menus check box to insert a check mark.
8 To begin adding a command to a menu, click the Commands tab.
9 To display a different category of commands, in the Categories list, click View.
10 To view additional items that can be added to a menu, in the Commands list, click three times below the scroll box on the list scroll bar.
11 To add a command to a menu, in the Commands list, point to My Computer, hold down the mouse button, drag it to the View menu, and then down to the position indicated, and release the mouse button.
12 To close the open menu and dialog box, in the Customize dialog box, click Close.
13 To test out the new menu command, click the View menu, and then click My Computer.
14 To return to the Inbox folder, on the Outlook Bar, click Inbox.
15 To begin removing an item from a menu, click the Tools menu, and then click Customize.
16 Click the View menu, point to My Computer, hold down the mouse button, drag the selection off of the View menu to the right, and then release the mouse button.
17 To display commands in the View category, in the Customize dialog box, in the Categories list, click View.
18 To add a button to a toolbar, in the Commands list, point to Go To, hold down the mouse button, drag it to the position indicated on the Standard toolbar, and release the mouse button.
19 To close the Customize dialog box, click Close.
20 To test the new toolbar button, on the Standard toolbar, click Go To, and then click Outlook Today.
21 To begin removing a toolbar button, click the Tools menu, and then click Customize.
22 On the Standard toolbar, point to Go To, hold down the mouse button, drag it downward off of the Standard toolbar, and release the mouse button.
23 To close the Customize dialog box, click the Close button.
