Getting to Know Access

Exploring Access and Database Objects

1To start Microsoft Access 2003, click Start, point to All Programs, point to Microsoft Office, and then click Microsoft Office Access 2003.
2To open an existing database, in this case GardenCo, on the File menu, click Open.
3To select the GardenCo database, in the Open dialog box, under My Documents, double-click Garden Company, and then double-click GardenCo.mdb.
4To acknowledge the security warning, in the Security Warning message box, click Open.
5To acknowledge the splash screen, click the Don’t show this screen again check box, and then click OK.
6To view the objects in The Garden Company's database, in The Garden Company window, click Close Switchboard.
7To view the description of each of the objects listed in the Database window, on the Database window toolbar, click the Details button, as indicated.
8To maximize the database window, on the Database window title bar, click the Maximize button.
9To open a table in Datasheet view, in the Database window, on the Objects bar, click Tables, click Categories, and then, on the Database window toolbar, click Open.
10To expand an embedded subdatasheet, in The Garden Company – [Categories : Table] window, click the plus (+) sign to the left of the record for the Bulbs category.
11To collapse the subdatasheet window, click the minus (-) sign to the left of the record for the Bulbs category.
12To close the Categories table, on the File menu, click Close.
13To open the Orders table in Datasheet view, in the Database window, click Orders, and then, on the Database window toolbar, click Open.
14To navigate through the records, in the navigation area at the bottom of The Garden Company – [Orders : Table] window, click the Next Record button, as indicated.
15To close the Orders table, on the File menu, click Close.
16To open the Products table in Design view, in the Database window, click Products, and then on the Database window toolbar, click Design.
17To close the Products table, on the File menu, click Close.
18To close the GardenCo database, on the File menu, click Close.

Exploring Queries

1To open an existing database, in this case GardenCo, on the File menu, click Open.
2To select the GardenCo database, in the Open dialog box, under My Documents, double-click Garden Company, and then double-click GardenCo.
3To acknowledge the security warning, in the Security Warning message box, click Open.
4To view the description of each of the objects listed in the Database window, on the Database window toolbar, click the Details button.
5To maximize the Database window, on the Database window toolbar, click the Maximize button.
6To open the Products by Category query in Datasheet view, in the Database window, click Products by Category, and then on the Database window toolbar, click Open.
7To view the Products by Category query in Design view, on the View menu, click Design View.
8To change the criteria, in the Criteria box of the Discontinued field, drag the pointer to select the text, for the purposes of this exercise, press SPACEBAR, and wait as the text is typed for you.
9To run the Products by Category query, on the Query menu, click Run.
10To close the Products by Category query, on the File menu, click Close.
11To discard the changes made to the Products by Category query, in The Garden Company dialog box, click No.
12To close the GardenCo database, on the File menu, click Close.

Exploring Forms and Reports

1To open the GardenCo database, on the File menu, click Open.
2To select the GardenCo database, in the Open dialog box, under My Documents, double-click Garden Company, and then double-click GardenCo.
3To acknowledge the security warning, in the Security Warning message box, click Open.
4To view the description of each of the objects listed in the Database window, on the Database window toolbar, click the Details button.
5To maximize the Database window, on the Database window title bar, click the Maximize button.
6To open the main switchboard, in the Database window, double-click Switchboard.
7To display the Forms switchboard, in The Garden Company – [The Garden Company] window, click Forms.
8To display the Orders form, in The Garden Company – [Forms] window, click Edit/Enter Orders.
9To navigate to the next record, in the navigation bar of The Garden Company – [Orders] window, click the Next Record button.
10To insert a new record, on the Insert menu, click New Record.
11To close the Orders form, on the File menu, click Close.
12To display the main switchboard, in The Garden Company – [Forms] window, click Return.
13To close the switchboard, in The Garden Company – [The Garden Company] window, click Close Switchboard.
14To display the Products form, in The Garden Company - [GardenCo : Database (Access 2000 file format)] window, double-click Products.
15To display the Products form in Datasheet view, in The Garden Company – [Products] window, on the View menu, click Datasheet View.
16To display the Products form in Design view, in The Garden Company – [Products] window, click the View menu, and then click Design View.
17To close the Products form, on the File menu, click Close.
18To display the database reports, in The Garden Company - [GardenCo : Database (Access 2000 file format)] window, on the Objects bar, click Reports.
19To open the Customer Labels report, in the Database window, click Customer Labels, and then on the Database window toolbar, click Preview.
20To navigate to other report pages, in the navigation bar of The Garden Company – [Customer Labels : Report] window, click the Next Record button.
21To close the Customer Labels report, on the File menu, click Close.
22To open a report in Design view, in The Garden Company - [GardenCo : Database (Access 2000 file format)] window, click Invoice, and then, on the Database window toolbar, click Design.
23To close the Invoice report, on the File menu, click Close.
24To close the GardenCo database, on the File menu, click Close.
25To exit Access, on the File menu, click Exit.
