Formatting a Project Plan

Customizing the Gantt Chart View

1To begin creating a custom Gantt Chart view, click the Tools menu, and then click Options.
2To view the top-level details of the project, on the View tab of the Options dialog box, under Outline options for ‘Wingtip Toys Commercial’, click the Show project summary task check box, and then click OK.
3Notice that the project summary task, Wingtip Toys Commercial, now appears as row 0 in the chart. To create a custom Gantt Chart view, click the View menu, and then click More Views.
4To create a replica of the current view, which you will edit to create a custom view, in the More Views dialog box, click Copy.
5To name your custom view, for the purposes of this exercise, press SPACEBAR and wait as text is typed for you in the Name box of the View Definition dialog box.
6To apply the Custom Gantt Chart view, in the View Definition dialog box click OK, and then, in the More Views dialog box, click Apply.
7Notice that the title on the left edge of the project view pane changes to Custom Gantt Chart. To format the Gantt bars and milestones in the Custom Gantt Chart view, click the Format menu, and click Gantt Chart Wizard.
8To continue, on the first page of the Gantt Chart Wizard, click Next.
9To select a standard style to define the type of information displayed in the Gantt Chart, click Other, click the arrow in the Other box, and then click Standard: Style 2.
10To apply the selected format, click Next, and in the next page of the wizard, click Dates and view the change in the preview pane on the left.
11To switch to the default view, click Resources and dates and then click Next.
12To view the dependent tasks unlinked, in the next page of the wizard, click No, and view the change in the preview pane.
13To switch back to the default view, click Yes, and then click Next.
14To format your selections in the Gantt Chart Wizard, click Format It and in the next page of the wizard, click Exit Wizard.
15Notice that the Gantt bars in the Gantt Chart view have changed. To see how the Custom Gantt Chart will appear when printed, click the File menu, and click Print Preview.
16To return to the previous view, on the Print Preview toolbar, click Close.
17To display the Drawing toolbar, click the View menu, point to Toolbars, and then click Drawing.
18To display later dates in the chart portion of the Gantt Chart view, in the horizontal scroll bar, click the Right scroll arrow three times.
19To begin inserting a text box into the Gantt Chart, on the Drawing toolbar, click the indicated Text Box button.
20To draw the text box, in the Gantt Chart view, point to the indicated area in the chart, hold down the mouse button, and drag in the indicated direction.
21To enter text in the text box, press SPACEBAR, and then wait as the text is typed for you.
22To begin formatting the selected text box, click the Format menu, point to Drawing, and then click Properties.
23To continue, on the Line and Fill tab of the Format Drawing dialog box, in the Fill section, click the Color arrow, and then, in the list, click Yellow.
24To attach the text box to a specific date on the timescale in the chart, in the Format Drawing dialog box, click the Size & Position tab.
25Under Position, notice that Attach to timescale is selected already. To change the date, click the Date arrow, and then on the calendar, click 13.
26To change the height of the text box, in the Attach to timescale section, triple-click the number in the Vertical box, and then press SPACEBAR, and wait as the value is typed for you.
27To close the Format Drawing dialog box and view your changes, click OK.

Formatting Text in a View

1To switch to a different view, click the View menu, and then click More Views.
2To display the project in Task Sheet view, in the More Views dialog box, click below the scroll box on the scroll bar so that Task Sheet is displayed, click Task Sheet, and then click Apply.
3To change the type of table displayed in the Task Sheet view, click the View menu, point to Table: Entry, and then click Summary.
4To change the formatting of text for an entire category of information, click the Format menu, and then click Text Styles.
5To choose the type of information to which the format change will apply, in the Text Styles dialog box, click the Item to Change arrow and click Summary Tasks.
6To make all Summary Task text appear larger and in color, in the Size box, click 10, and then click the Color arrow, and click Navy.
7To apply the changes as shown in the Sample box, click OK.
8To apply different formatting to a particular selection of text, in the Task Sheet view, click the Cost field for task 7, Production summary task.
9To continue, click the Format menu, and then click Font.
10To change the selected text to bold and italic, in the Font dialog box, under Font style, click Bold Italic, and then click OK.

Formatting a Report

1To create a project report and view it in the Print Preview window, click the View menu, and then click Reports.
2To choose Overview as the report type, in the Reports dialog box, notice that Overview is already selected, and click Select.
3To create a Project Summary report, in the Overview Reports dialog box, notice that Project Summary is already selected, and click Select.
4To zoom in and make the text more readable, click the upper half of the page.
5To close the report, on the Print Preview toolbar, click Close.
6To preview and edit a different type of report, in the Reports dialog box, click Assignments, and then click Select.
7To choose the type of information in the report, in the Assignment Reports dialog box, click Who Does What When, and then click Select.
8To view the second page of the report, click the indicated Page Right button.
9To view multiple pages at once, on the Print Preview toolbar, click the Multiple Pages button, as indicated.
10To change the page setup, on the Print Preview toolbar, click Page Setup.
11To insert a logo graphic on the left side of the header, in the Page Setup dialog box, click the Header tab, and then in the Alignment section, click the Left tab, and click the indicated Insert Picture button.
12To select the picture to be inserted, in the Insert Picture dialog box, in My Pictures, click Logo and then click Insert.
13To insert the selected picture in the header, in the Page Setup dialog box, click OK.
14To get a closer look at the updated header with the picture inserted, on the Print Preview toolbar, click the indicated Zoom button.
15To return to the Task Sheet view, on the Print Preview toolbar, click Close, and then in the Reports dialog box, click Close.
