Reviewing and Sharing Presentations

Adding Comments

1To open a comment box, click the Insert menu, and then click Comment.
2To enter text in the comment box, for the purposes of this exercise, press SPACEBAR and the text will be typed for you.
3To close the comment box, click the blank area to the right of the slide title.
4To display the comment, click the small box, and then close the comment by clicking the blank area to the right of the slide title.
5To move to another slide, on the Slides tab, click Slide 2.
6To add the comment, click the first square object, click the Insert Comment button on the Reviewing toolbar, as indicated, and then press SPACEBAR to have the comment text typed for you.
7To close the comment box, click the blank area to the right of the slide title.
8To change the comment text, double-click the small box, click between the word slide and the question mark in the comment box, and press SPACEBAR to have another word typed for you.
9To close the comment box, click the blank area to the right of the slide title, and to hide the comment indicator, on the Reviewing toolbar, click the Markup button, as indicated.
10To add a comment to another slide, click once below the scroll box on the scroll bar of the Slides tab, click Slide 9, and then on the Reviewing toolbar, click the Insert Comment button.
11To enter text in the comment box, press SPACEBAR to have the text typed for you.
12To close the comment box, click the blank area to the right of the slide title.
13To delete the comment, click its small box, and on the Reviewing toolbar, click the Delete Comment button, as indicated.
14To display the previous comment, on the Reviewing toolbar, click the Previous Item button, as indicated.

Merging Versions of a Presentation

1To select the files that you want to merge with the open presentation, click the Tools menu, and click Compare and Merge Presentations.
2To select the files, double-click the Garden Company folder, double-click the Training Classes folder, click the Teacher Training_KA file, hold down the SHIFT key, and click the Teacher Training_KB file.
3To merge the selected files, click Merge.
4To respond to the message that one or more of the selected presentations was not sent to reviewers via e-mail, click Continue.
5To show only one reviewer's changes, on the Reviewing toolbar, click the Reviewers button, select Kim Ackers to clear the check box, and click the blank area to the right of the slide's title.
6To view the first revision, click the item in the Presentation changes area of the Revisions task pane, which indicates that slides have been inserted at the beginning of the presentation.
7To apply the change, on the Reviewing toolbar, click the Apply button, as indicated.
8To view the comment in the new slide, click the small comment box.
9To delete the markup on this slide, on the Reviewing toolbar, click the Delete Comment button, as indicated.
10To view the comment on the next slide, on the Slides tab, click Slide 2, click the comment, read it, and on the Reviewing toolbar, click the Delete Comment arrow, and click Delete All Markup on the Current Slide.
11To view the next insertion, click the item in the Presentation changes area of the Revisions task pane, click the Apply button on the Reviewing toolbar, click the Delete Comment arrow, and click Delete All Markup on the Current Slide.
12To correct the order of the inserted slides, on the Slides tab, drag Slide 1 down between slides 2 and 3, and release the mouse button when the insertion bar indicates that the agenda slide will be placed after the title slide.
13To view the next comment or change, at the bottom of the Revisions task pane, click Next, read the comments in the Slide changes area of the Revisions task pane.
14To see the slide with and without the changes applied, in the Revisions task pane, click the Gallery tab to see the slide with the changes applied.
15To apply all the changes to the current slide, on the Reviewing toolbar, click the Apply arrow, and click Apply All Changes to the Current Slide.
16To delete all markups on the current slide, on the Reviewing toolbar, click the Delete Comment arrow, and click Delete All Markup on the Current Slide.
17To move to the next change, on the Reviewing toolbar, click the indicated Next Item button, and then in the Revisions task pane, click the List tab, and click Next to move to the next slide that has changes.
18To delete the slide (as requested in the comment), click the Edit menu, and then click Delete Slide.
19To move to the previous slide with changes, in the Revisions task pane, click Previous.
20To apply all remaining changes to the presentation, on the Reviewing toolbar, click the Apply arrow, and click Apply All Changes to the Presentation.
21To delete all remaining markups in the presentation, on the Reviewing toolbar, click the Delete Comment arrow, and then click Delete All Markup in this Presentation.
22To confirm that you want to delete all comments and markers, in the message box that appears, click Yes.

Sending an Outline or Notes to Word

1To start sending the presentation outline to Word, click the File menu, point to Send To, and then click Microsoft Office Word.
2To send the presentation, select the Outline only option, and then click OK.
3To save the file, click the Word File menu, and then click Save As.
4To rename the file, for the purposes of this exercise, press SPACEBAR to have the name typed in the File name box for you.
5To select the location where the file will be saved, double-click the Garden Company folder, double-click the Training Classes folder, and then click Save.
6To close Word, click the Word File menu, and then click Exit.
7To save the presentation in as an RTF file with a new name, click the File menu, click Save As, and press SPACEBAR to have a new name typed for you.
8To select the file format, click the Save as type arrow, drag the scroll box to the bottom of the list's scroll bar, and click Outline/RTF.
9To finish saving the file, click Save.
