Working with Documents

Creating, Saving, and Closing Documents

1To open a new document, on the Standard toolbar, click the New Blank Document button, as indicated.
2To add a heading to the flyer, press SPACEBAR and, for the purposes of this exercise, the text will be typed for you. When typing is complete, press ENTER.
3To insert a blank line between the heading and the paragraph that will follow, press ENTER again.
4To add a paragraph of text to the flyer, press SPACEBAR, wait while the text is typed for you, and then press ENTER.
5To insert another blank line before the next paragraph, press ENTER again.
6To add a second paragraph of text, press SPACEBAR, wait as the text is typed for you, and then press ENTER.
7To insert a registered symbol after the product name, click just to the left of the last period, click the Insert menu, and then click Symbol.
8To select the symbol you would like to insert, on the Symbols tab of the Symbol dialog box, click ®.
9To insert the selected symbol and view it in your document, in the Symbol dialog box, click the Insert button, and then click the Close button.
10To save the document, on the Standard toolbar, click the Save button, as indicated.
11To move to the folder in which the document should be stored, double-click Garden Company, and then double-click Flyers.
12To change the file name to Map Kit Flyer, in the File name box, double-click Gardeners, and then press SPACEBAR to have the new name entered for you.
13To finish saving the file, click the Save button.
14To save the document in another file format, click the File menu, and then click Save As.
15To change the name, in the Save As dialog box, click to place the insertion point at the end of the text in the File name box, then press SPACEBAR, and wait as additional text is typed for you.
16To save the document in an earlier version of Word, click the Save as type arrow, click the down scroll arrow three times, and then click Word 97-2003 & 6.0/95 - RTF.
17To finish saving the document, click Save.
18To close the active document without closing Word, at the right end of the menu bar, click the Close Window button, as indicated.

Viewing and Modifying Document Properties

1To see statistics about the number of words and characters in the document, click the Tools menu, and then click Word Count.
2To close the Word Count dialog box, click Close.
3To see more information about the open document, click the File menu, and click Properties.
4To view the dates and times the document has been edited, in the Black Gold Properties dialog box, click the Statistics tab.
5To view the document's title and author information, click the Summary tab.
6To insert a subject, click the Subject box, and then, for the purposes of this exercise, press SPACEBAR and wait as the subject name is typed for you.
7To insert a comment, click in the Comments box, then press SPACEBAR and wait as the comment text is typed for you.
8To close the Black Gold Properties dialog box, click OK.
9To save the document, on the Standard toolbar, click the Save button.

Opening and Viewing Existing Documents

1To begin opening an existing document, on the Standard toolbar, click the Open button, as indicated.
2To find the document you want to open, in the Open dialog box, double-click the Garden Company folder, and then double-click the Flyers folder.
3To open the file, click Map Kit Flyer, and then click the Open button.
4To begin opening a second document, on the Standard toolbar, click the Open button, and then, in the Open dialog box, click the Up One Level button, as indicated.
5To finish opening the second document, double-click the Letters folder, and then double-click the Map Kit Letter document.
6To display nonprinting characters in this document, on the Standard toolbar, click the Show/Hide ¶ button, as indicated.
7To position the insertion point after the greeting, click between the colon (:) and the paragraph mark ().
8To move the insertion point to the beginning of the line, press the HOME key.
9To move the insertion point to the beginning of the word Garden in the greeting, press the RIGHT ARROW key five times.
10To move the insertion point to the end of the line, press the END key.
11To move the insertion point to the end of the document, hold down the CTRL key, press the END key, and then release the CTRL key.
12To move the insertion point to the beginning of the document, hold down the CTRL key, press the HOME key, and then release the CTRL key.
13To view other portions of the document, drag the scroll box to the bottom of the vertical scroll bar, as indicated.
14To change the view of the document by one screen, click above the scroll box in the vertical scroll bar.
15To move the right side of the document into view, in the horizontal scroll bar, click the right scroll arrow, as indicated.
16To see the left edge of the document, in the horizontal scroll bar, drag the indicated scroll box all the way to the left.
17To display a menu of elements you can look for in the document, at the bottom of the vertical scroll bar, click the Select Browse Object button, as indicated.
18To move to the next page, on the Select Browse Object menu, click the Browse by Page button, as indicated.
19To hide nonprinting characters, on the Standard toolbar, click the Show/Hide ¶ button to turn it off.
20To switch to a view of the Map Kit Flyer document, on the taskbar, click the Map Kit Flyer program button.
21To view a list of open files, click the Window menu.
22To stack the open windows on top of one another, on the Window menu, click Arrange All.
23To make the Map Kit Letter document active, click anywhere within the Map Kit Letter window.
24To maximize the Map Kit Letter document, at the right end of the Map Kit Letter title bar, click the Maximize button, as indicated.
25To switch to a maximized view of the Map Kit Flyer document, click the Window menu, click Map Kit Flyer, and then, in the upper-right corner of the Map Kit Flyer window, click the Maximize button.

Deciding Which View to Use When

1To display the document as it would look in a Web browser, click the Web Layout View button, as indicated.
2To display the document as it would look if printed, click the Print Layout View button, as indicated.
3To eliminate the white space between pages and thereby speed up scrolling, click the Tools menu, and click Options.
4In the Options dialog box, click the View tab, then in the Print and Web Layout options section, select White space between pages (Print view only) to de-select it, and click OK.
5To restore the white space, click the Tools menu, click Options, and then in the Options dialog box, click to insert a check mark in the White space between pages check box, and click OK.
6To see an outline of the document, click the Outline View button, indicated in the lower-left corner of the window.
7To see only the Level 1 and Level 2 headings, on the Outlining toolbar, click the Show All Levels arrow, as indicated, and click Show Level 2.
8To display the document so that it is easier to read on screen, click the Reading Layout button, as indicated.
9To display only one page at a time, on the Reading Layout toolbar, click the Allow Multiple Pages button, indicated, to switch it off.
10To display a small image of each page of the document on the left side of the screen, on the Reading Layout toolbar, click the Thumbnails button.
11To quickly move to a new page, click the fourth thumbnail from the top.
12To display the entire page, on the Reading Layout toolbar, click the Actual Page button, as indicated.
13To display all the headings in the document, on the Reading Layout toolbar, click the Document Map button.
14To move directly to a section of the document, in the Document Map pane, click the How Do You Make a Compost Pile? heading.
15To turn off the Document Map pane, on the Reading Layout toolbar, click the Document Map button.
16To switch back to Print Layout view, click the View menu, and then click Print Layout.
17To view the page at 50% magnification, click the Zoom arrow, as indicated, and click 50%.
18To view the page at 40% magnification, click the Zoom box, and then, for the purposes of this exercise, press SPACEBAR, wait as 40 is typed for you, and then press ENTER.
19To display the third and fourth pages of the document, click the Next Page button, as indicated.
20To return to Normal view, click the Normal View button, as indicated.
