Collaborating with Others

Tracking Changes and Adding Comments

1To start preserving a record of the document before you make changes, click the File menu, and then click Versions.
2To save the original version, in the Versions in Interactive Garden dialog box, click Save Now.
3To attach a comment to the version, in the Save Version dialog box, for the purposes of this exercise, press SPACEBAR, and text will be typed for you.
4To enter the comment text, click OK.
5To turn on change tracking, in the status bar at the bottom of the Word window, double-click the letters TRK.
6To change a word or words, drag from left to right across begin your gardening this year in the first paragraph, and press SPACEBAR to have replacement text typed for you.
7To insert a word, click to the left of the word and at the end of the second line of the paragraph, and press SPACEBAR to have the word typed for you.
8To delete an entire paragraph of text, triple-click the paragraph that begins The Garden Company welcomes, and press the DELETE key twice.
9To select text to which you will add a comment, click to the left of The toward the end of the second paragraph, hold down the SHIFT key, and click to the right of Garden.
10To start adding a comment to the selected text, on the Reviewing toolbar, click the Insert Comment button, as indicated.
11To insert text in the comment balloon, press SPACEBAR to have text typed for you.
12To cancel the selection of the comment balloon, click the indicated blank area of the document.
13To start preserving a record of this version of the document, click the File menu, and then click Versions.
14To save the new version, in the Versions in Interactive Garden dialog box, click Save Now.
15To attach comments to the version, in the Save Version dialog box, press SPACEBAR, wait until text is typed for you, and then click OK.

Resolving Changes and Reviewing Comments

1To view any changes that have been made to the document and display the Reviewing toolbar, click the View menu, and click Markup.
2To move to the first change, on the Reviewing toolbar, click the Next button, as indicated.
3To accept the change that is highlighted, on the Reviewing toolbar, click the Accept Change button, as indicated.
4To move to the next change, on the Reviewing toolbar, click the Next button.
5To skip this change, on the Reviewing toolbar, click the Next button twice.
6To delete a comment, click between the letters I and r in Iron plant stand, click the Reject Change/Delete Comment button, indicated on the Reviewing toolbar, and then click the Next button twice.
7To start rejecting a change, on the Reviewing toolbar, click the Reject Change/Delete Comment button to reject the deletion.
8To complete the rejection, click the Next button, and then click the Reject Change/Delete Comment button to reject the new text.
9To move back to the previous change, on the Reviewing toolbar, click the Previous button, as indicated, twice.
10To start accepting this change, on the Reviewing toolbar, click the Accept Change button to accept the deletion.
11To complete the acceptance, click the Previous button, and then click the Accept Change button again.
12To review all comments at once in a Reviewing pane, on the Reviewing toolbar, click the Reviewing Pane button, as indicated.
13To start editing a comment, in the scroll bar of the Reviewing pane, click once below the scroll box, and then click at the right end of the comment text.
14To add text to this comment, for the purposes of this exercise, press SPACEBAR to have text typed for you.
15To close the Reviewing pane, click the Reviewing Pane button on the Reviewing toolbar.
16To start adding a new comment in response to an existing one, click above the scroll box on the vertical scroll bar, and click at the right end of the text in the first comment balloon.
17To finish adding the new comment, on the Reviewing toolbar, click the Insert Comment button, and press SPACEBAR to have text typed for you.
18To hide the comments, on the Reviewing toolbar, click the Show arrow, and then click Comments.

Using E-Mail to Send Documents for Review

1To start sending the active document for review by using Microsoft® Office Outlook® 2003, click the File menu, point to Send To, and then click Mail Recipient (for Review).
2To address the message, for the purposes of this exercise, press SPACEBAR to have an e-mail address typed in the To box for you.
3To start attaching another document to this message, click the Attach button.
4To locate the document to attach, double-click Garden Company, double-click Memos, and then double-click Sale Flyer.
5To mark the message as important, on the Standard toolbar of the message window, click the Importance: High button, as indicated.
6To start setting a deadline for receipt of reviewed documents, on the Standard toolbar of the message window, click the Message Flag button, as indicated.
7To set the deadline for Tuesday, July 6, in the Flag for Follow Up dialog box, click the Due By arrow, click 6 in the calendar, and then click OK.
8To send the e-mail message, on the Standard toolbar of the message window, click the Send button.

Comparing and Merging Documents

1To open a document to compare with the active document, on the Standard toolbar, click the Open button, and in the Open dialog box, double-click KA_Price List.
2To compare the two open documents, click the Window menu, and then click Compare Side by Side with Price List.
3To scroll through both documents at the same time, click below the scroll box on the vertical scroll bar of the right window.
4To turn off synchronized scrolling, on the Compare Side by Side toolbar, click the Synchronous Scrolling button, as indicated.
5To scroll through only one document, click above the scroll box on the vertical scroll bar of the right window.
6To see the active document in full screen view, on the Compare Side by Side toolbar, click the Close Side by Side button.
7To start merging reviewed document versions into the active document, click the Tools menu, and then click Compare and Merge Documents.
8To transfer changes from an edited version to the active document, in the Compare and Merge Documents dialog box, click KA_Price List, click the Merge arrow, and then click Merge into current document.
9To transfer changes from a third version of the Price List document, click the Tools menu, click Compare and Merge Documents, click KB_Price List, click the Merge arrow, and then click Merge into current document.
10To hide the revisions of a specified reviewer, on the Reviewing toolbar, click the Show arrow, point to Reviewers, and then click David Ortiz.
11To display all reviewers' revisions, on the Reviewing toolbar, click the Show arrow, point to Reviewers, and then click All Reviewers.
12To see how the document looks with all changes implemented, on the Reviewing toolbar, click the Display for Review arrow, as indicated, and click Final.
13To show the revision marks again, on the Reviewing toolbar, click the Display for Review arrow, and then click Final Showing Markup.
14To accept all changes, click the Accept Change arrow, and then click Accept All Changes in Document.
