Using Visio with the Microsoft® Office System

Embedding Copies of Visio Diagrams in Office 2003 Files

1To select all the shapes in the open Visio diagram so that you can copy them to a Word document, click the Edit menu, and then click Select All.
2To copy the shapes, on the Standard toolbar, click the Copy button.
3To switch to Word, on the Windows taskbar, click the Proposal - Microsoft ... button.
4To move to the end of the open document, hold down the CTRL key and press the END key.
5To paste the Visio diagram into the Word document as an object, on the Standard toolbar, click the Paste button.
6To see the placement of the diagram on the page, on the Standard toolbar, click the Zoom arrow, and then click Whole Page.
7To zoom in on the diagram again, on the Standard toolbar, click the Zoom arrow, and then click 100%.
8To activate the diagram so that you can modify it, double-click anywhere in the Visio object.
9To enlarge the object, drag the right middle handle of the object until it aligns with the 6 1/2 inch mark on the horizontal ruler.
10To activate the text block in one of the shapes, on the Standard toolbar, click the Text Tool button, and then click the Readiness Meeting shape (the top shape).
11To edit the text, click in the lower-right corner of the shape to place the insertion point after the g in Meeting, press the ENTER key, and for the purposes of this exercise, press SPACEBAR to have a new line typed for you.
12To select a different shape so that you can change its color, on the Standard toolbar, click the Pointer Tool button, and then click the Booth Signoff shape (the middle shape in the bottom row).
13To change the background color of the shape, on the Standard toolbar, click the Fill Color arrow, and in the color palette, click the Light Green box.
14To apply the same background color to a different shape, click the Demo Signoff shape to the right of the Booth Signoff shape, click the Edit menu, and click Repeat Fill Properties.
15To close Visio and continue working in Word, click the narrow white strip to the right of the Visio object.
16To see the entire modified diagram, on the Standard toolbar, click the Zoom arrow, and then click 75%.

Linking Existing Visio Diagrams to Office 2003 Files

1To copy the entire diagram, click the Edit menu, and then click Copy Drawing.
2To switch to Word, on the Windows taskbar, click the Proposal - Microsoft ... button.
3To move to the end of the open document, hold down the CTRL key and press the END key.
4To paste a link to a diagram into the Word document, click the Edit menu, and click Paste Special.
5To indicate that you want to link the diagram and the Word document, in the Paste Special dialog box, click the Paste link option, and then click OK.
6To see the placement of the diagram on the page, on the Standard toolbar, click the Zoom arrow, and then click Whole Page.
7To zoom in on the diagram again, on the Standard toolbar, click the Zoom arrow, and then click 100%.
8To begin modifying the diagram, double-click anywhere in the Visio object to switch to the open Visio file.
9To select all the shapes on the drawing page, click the Edit menu, and then click Select All.
10To modify the appearance of the text in the diagram, click the Format menu, and then click Text.
11To change the font color, in the General area, click the Color arrow, click 02: (red), and then click OK.
12To save the changes to the diagram, on the Standard toolbar, click the Save button.
13To close Visio, in the upper-right corner of the window, click the Close button. Then in the message box that asks if you want to retain data on the Clipboard, click No.
14To apply the change to the linked diagram in the Word document, click the Edit menu, and then click Update Link.

Creating Visio Diagrams Within Office 2003 Files

1To delete the placeholder text, triple-click <insert new diagram here>, and then press the DELETE key.
2To begin creating a new object, click the Insert menu, and then click Object.
3To select the type of object to create, on the Create New tab of the Object dialog box, click below the scroll box in the scroll bar, click Microsoft Visio Drawing, and then click OK.
4To create a block-diagram object, in the Choose Drawing Type dialog box, in the Template area, double-click Block Diagram.
5To add a shape to the diagram, drag the Arrow box shape, as indicated, from the Blocks stencil to the upper-left corner of the drawing page.
6To add text to the shape, for the purposes of this exercise, press SPACEBAR to have a label typed for you.
7To cancel the selection of the text block, press the ESC key.
8To add another shape to the diagram, drag another Arrow box shape from the Blocks stencil to the right of the first shape on the drawing page.
9To add text to the shape, press SPACEBAR to have a label typed for you.
10To cancel the selection of the text block, press the ESC key.
11To join an arrow to the left shape, drag the 1-D single open shape, as indicated, from the Blocks stencil to the drawing page between the two shapes, positioning the left end of the arrow over the right edge of the left block.
12To add more shapes to the diagram, drag the Box shape (the top-left shape in the Blocks stencil) to the area below the left shape on the drawing page.
13To cancel the selection of the Visio object and continue working in Word, click to the right of the Visio object in the Word document.
14To activate the Visio object so that you can modify it, double-click anywhere in the diagram.
15To scroll down in the Word document, in the scroll bar at the right edge of the page, click the Down scroll arrow five times.
16To lengthen the drawing window to make room for another shape, drag the bottom middle selection handle of the Visio object down to the bottom of the Word window.
17To add a shape to the diagram, drag the Diamond shape from the Blocks stencil to the bottom of the drawing page, centering it approximately below the two Box shapes.
18To enter text in the shape, press SPACEBAR to have a label typed for you.
19To cancel the selection of the Visio object and view the results in Word, click to the right of the Visio object in the Word document.
20To see the placement of the diagram on the page, on the Standard toolbar, click the Zoom arrow, and then click Whole Page.
