Working With Reports
Creating a Report Using a Wizard
| 1 | To select a table on which to base a new report, in the Tables pane, click Products. |
| 2 | To start creating a report, click the Insert menu, and then click Report. |
| 3 | To create the report using the Report Wizard, in the New Report dialog box, double-click Report Wizard. |
| 4 | To select the Products table fields to be included in the new report, in the Available Fields list, double-click ProductName, double-click QuantityPerUnit, and then double-click UnitsInStock. |

Creating a Report from Scratch
| 1 | To start creating a report based on the Sales by Category query, click the Insert menu, and click Report. |
| 2 | To open a blank report in Design view, in the New Report dialog box, click OK. |
| 3 | To define the Report Header and Report Footer sections, click the View menu, and then click Report Header/Footer. |
| 4 | To specify a field that will be used to group the records in the report, click the View menu, and click Sorting and Grouping. |
| 5 | To select a field, in the Field/Expression field of the Sorting and Grouping dialog box, click the arrow next to the upper-most text box, and then click CategoryName. |
| 6 | To modify the Group Properties specifications, in the Group Properties section, click the Group Header text box, click the arrow next to the box, and then click Yes. |
| 7 | An icon appears in the selector button to the left of CategoryName to indicate that it is a group heading. To close the Sorting and Grouping dialog box, in the upper-right corner of the dialog box, click the Close button. |

Adding a Subreport to a Report
| 1 | To add a subreport to the Sales by Category report, in the Toolbox, click the Subform/Subreport control. |
| 2 | To specify a location for the subreport, in the CategoryName Header section, position the mouse pointer at the intersection of 0.2" on the horizontal ruler and 0.9" on the vertical ruler, and then click the mouse button. |
| 3 | To accept the default selection of the Use existing Tables and Queries option, in the SubReport Wizard, click Next. |
| 4 | To select a query on which to base the subreport, click the arrow next to the Tables/Queries box, on the scroll bar of the drop-down list, click the down arrow, and then click Query: Sales by Category. |
| 5 | To select the fields to be included in the subreport, in the Available Fields list, double-click CategoryID, double-click ProductName, double-click ProductSales, and then click Next. |
| 6 | To accept the default selection of the Choose from a list option, click Next. |
| 7 | To accept the suggested name, Sales by Category subreport, and finish creating the subreport, click Finish. |
| 8 | To maximize the Sales by Category : Report window, in the upper-right corner of the window, click the Maximize button (the middle button). |

Previewing and Printing a Report
| 1 | To open an existing report in Design view, in the Reports pane, click Alphabetical List of Products, and then on the Database toolbar, click the Design button. |
| 2 | To preview the report before printing it, click the File menu, and then click Print Preview. |
| 3 | To modify the magnification so that the entire page fits in the report window, on the Standard toolbar, click the Zoom arrow, and then click Fit. |
| 4 | To view the next page of the report, on the navigation bar, click the Next Page button (right arrow). |
| 5 | To view the last page of the report, on the navigation bar, click the Last Page button (right arrow with a vertical line). |
| 6 | To enlarge the text on the page, position the pointer over the center of the page, and then click the mouse. |
| 7 | To return to Design view, on the Print Preview toolbar, click the Close button. |
| 8 | To preview the layout of the page, on the Standard toolbar, click the View button arrow, and then click Layout Preview. |
| 9 | Notice that in this view, the report does not list all products in each group. To return to Design view, on the Print Preview toolbar, click the Close button. |
| 10 | To start printing the report, click the File menu, and then click Print. |
| 11 | To print only part of the report, in the Print dialog box, in the Print Range section, click the Pages from option. |
