Working with Charts and Printing
Creating a Chart
| 1 | To begin creating a chart, click cell C1, to select it. |
| 2 | To select the range of cells from C1 through G13, press and hold down the SHIFT key, then click cell G13. |
| 3 | To display the Chart Wizard, on the Standard toolbar, click the Chart Wizard button. |
| 4 | On the Step 1 of 4 page of the Chart Wizard, the default selections are fine, so click Next. |
| 5 | On the Step 2 of 4 page of the Chart Wizard, click the Series tab, and notice that the Category (X) axis is labeled with the months of the year and that the four series are named Tools, Supplies, Furniture, and Plants, then click Next. |
| 6 | On the Step 3 of 4 page of the Chart Wizard, to enter a title for your chart, click in the Chart title box, type Monthly Sales by Category, and press the TAB key. |
| 7 | Notice that the chart preview is updated to reflect the new chart title. To enter a value for the X axis, in the Category (X) axis box, type Month, and press the TAB key. |
| 8 | To enter a value for the Y axis, in the Value (Y) axis box, type Sales, then click Next. |
| 9 | In the Step 4 of 4 page of the Chart Wizard, to accept the default choice of creating the chart as part of the ByCategory worksheet, click Finish. |
| 10 | The new chart appears, along with the Chart toolbar. To close the Chart toolbar, on the toolbar, click the Close button. |
| 11 | To reposition the chart within the worksheet, first click two times on the Down scroll arrow. |
| 12 | Move the mouse pointer over the blank Chart Area to the left of the Chart Title until a four-headed black arrow appears. Click and hold down the left mouse button and drag the chart down until the upper-left corner of the chart touches the upper-left corner of cell C17. Release the mouse button. |
| 13 | To enlarge the chart so that it covers cells C17 through H33, first click once below the scroll box on the scroll bar. |
| 14 | Move the mouse pointer over the lower-right corner of the chart until a four-headed black arrow appears. Click and hold down the left mouse button and drag the chart border until the lower-right corner of the chart touches the lower-right corner of cell H33. Release the mouse button. |
| 15 | To modify the formatting of the chart, click the Format menu, then click Selected Chart Area. |
| 16 | To change the chart border, on the Patterns tab of the Format Chart Area dialog box, in the Border section, click the Custom option, then click the Weight down arrow, and click the line weight option at the bottom of the list to select it. |
| 17 | To add a shadow to the border, click the Shadow check box to select it. |
| 18 | To reformat the background area of the chart, click the Fill Effects button, and then click the Texture tab. |
| 19 | In the Texture section, click the first texture in the upper left corner (Newsprint), and click OK. |
| 20 | To apply the formatting, click OK. |
| 21 | To save your changes to this worksheet, on the Standard toolbar, click the Save button. |
Customizing Chart Labels and Numbers
| 1 | To begin customizing chart labels and numbers, you need to select the cells on which the chart is based. To select cells C1 through G13, click cell C1, press and hold down the SHIFT key, click cell G13, and release the SHIFT key. |
| 2 | To display the Chart Wizard, on the Standard toolbar, click the Chart Wizard button. |
| 3 | On the Step 1 of 4 page of the Chart Wizard, in the Chart type list, click Line. The default setting for the Chart sub-type is fine (first from left on the second row), so click Next. |
| 4 | The default settings on this page of the wizard are fine, so click Next. |
| 5 | On the Step 3 of 4 page of the wizard, to enter a title for your chart, click in the Chart title box, type Sales by Month, and press the TAB key. |
| 6 | Notice that the chart preview is updated to reflect the new chart title. To enter a value for the X axis, in the Category (X) axis box, type Month, and press the TAB key. |
| 7 | To enter a value for the Y axis, in the Value (Y) axis box, type Sales, then click Next. |
| 8 | To accept the default choice of creating the chart as an object in the ByCategory worksheet, click Finish. |
| 9 | To reposition the chart within the worksheet, first click two times on the Down scroll arrow. |
| 10 | Move the mouse pointer across the upper border of the chart and into the blank chart area to the left of the chart title until the cursor changes to a white arrow, then press and hold down the left mouse button, drag the chart down, until the upper left corner of the chart touches the upper left corner of cell C17, and release the mouse button. |
| 11 | To delete the old chart, click in cell H17, and press the DELETE key on your keyboard. |
| 12 | To select the new chart again, click in the blank chart area to the left of the chart title. |
| 13 | To enlarge the chart so that it covers cells C17 through H33, first click once below the scroll box on the vertical scroll bar. |
| 14 | Move the mouse pointer over the lower right corner of the chart until a double-headed black arrow appears, click and hold down the left mouse button, drag the chart border until the lower right corner of the chart, touches the lower right corner of cell H33, and release the mouse button. |
| 15 | To change the format of the chart title and labels, first click on the vertical scroll bar, hold down the left mouse button, drag the scroll box up until row 14 of the worksheet is at the top of the window, and release the mouse button. |
| 16 | To change the font size of the chart title, double-click Sales by Month. |
| 17 | In the Format Chart Title dialog box, click the Font tab. |
| 18 | To change the font size to 14-point type, click two times on the Size box Down arrow, click 14, and click OK. |
| 19 | To reformat the Sales numbers displayed along the vertical axis (left side) of the chart, double-click anywhere within the list of numbers. |
| 20 | To reduce the decimal places displayed to zero, click the Number tab, click twice on the Decimal places Down arrow, and click OK. |
Printing a Chart
| 1 | To begin printing a chart, click the chart in the blank Chart Area next to the Chart Title, click the File menu, and click Print. |
| 2 | In the Print what section, of the Print dialog box, ensure that the Selected Chart option button is selected, then click OK. |
| 3 | To print the underlying worksheet without the chart, first click the Format menu, click Selected Chart Area, and then click the Properties tab. |
| 4 | On the Properties tab, click the Print object check box to clear it, then click OK. |
| 5 | To print the worksheet without the chart, on the Standard toolbar, click the Print button. |
| 6 | To print the chart without the worksheet, first click the Format menu, then click Selected Chart Area. |
| 7 | On the Properties tab, click the Print object check box to select it, then click OK. |
| 8 | To view how the document will look when printed, on the Standard toolbar, click the Print Preview button. |
| 9 | To print the chart at its actual size, click the Setup button, click the Chart tab, click the Custom option to select it, and then click OK. |
| 10 | To print the chart, click the Print button, and click OK. |
Printing Data Lists
| 1 | To begin printing a data list, on the Standard toolbar, click the Print Preview button, and then click the Setup button. |
| 2 | To change the orientation of the page, in the Orientation section of the Page tab, click the Landscape option to select it, then click OK. |
| 3 | To adjust the margins on your page so the logo will fit within the footer, first click the Margins button. |
| 4 | Move the mouse pointer over the second margin line from the bottom, and when the mouse pointer changes to a vertical double-headed arrow, click and hold down the left mouse button, drag the margin line up until it is above the logo, and release the mouse button. |
| 5 | To enlarge the display size of your worksheet, click the Zoom button. |
| 6 | To decrease the display size of your worksheet, click the Zoom button again. |
| 7 | To close the Print Preview window and view the active worksheet with page breaks indicated, click the Page Break Preview button, thenclick OK to clear the message box that appears. |
| 8 | To change the current page break position, move the mouse pointer over the page break line on the border of columns I and J, and when it changes to a double-headed arrow, click and hold down the left mouse button, drag the pointer to the border of columns G and H, and release the mouse button. |
| 9 | To change the order in which the pages will print, first click the View menu, and click Normal. |
| 10 | Click the File menu, click Page Setup, click the Sheet tab, and then in the Page order section, click the Over, then down option to select it. |
| 11 | To suppress any cell errors from being displayed, in the Print section, click the Cell errors as Down arrow, and click <blank>. |
| 12 | To adjust the scale of the worksheet on a printed page, click the Page tab, and in the Scaling section, click the Fit to option to select it. |
| 13 | Check that the Fit to options are 1 page(s) wide by 1 tall, and click the Print Preview button. |
| 14 | Excel scales the worksheet to fit on one page. To select multiple worksheets to be printed, first click the Close button to close the Print Preview window. |
| 15 | Hold down the CTRL key, then click the March sheet tab near the bottom of the Excel window, so the January and March worksheets are now active. |
| 16 | To print both worksheets, click the File menu, then click Print. |
| 17 | In the Print what section of the Print dialog box, ensure that the Active sheet(s) button is selected, then click OK to print the selected worksheets. |
Printing Part of a Data List
| 1 | To begin printing select pages of a worksheet, click the File menu, then click Print. |
| 2 | To print pages 2 and 3 of the worksheet, in the Print range section, click the Page(s) option to select it. |
| 3 | In the From box, type 2, press the TAB key, and in the To box, type 3, and click OK. |
| 4 | To print only the data in cells A1 through G12, click cell A1, press and hold down the SHIFT key, click cell G12, and release the SHIFT key. |
| 5 | To define these cells as the area of the worksheet you want to print, click the File menu, point to Print Area, then click Set Print Area. |
| 6 | To preview how this will look on a printed page, on the Standard toolbar, click the Print Preview button. |
| 7 | To adjust the margins on the page, click the Setup button, and then click the Margins tab. |
| 8 | In the Center on page section, click the Horizontally check box, click the Vertically check box, and then click OK. |
| 9 | To close the Print Preview window, click Close. |
| 10 | To remove the print area that you defined earlier, click the File menu, point to Print Area, then click Clear Print Area. |
| 11 | To hide columns D through G from the printed worksheet, click the column head of D, press and hold down the SHIFT key, click the column head of G, and release the SHIFT key. |
| 12 | To hide the selected columns, click the Format menu, point to Column, and click Hide. |
| 13 | To view how your printed worksheet will appear, on the Standard toolbar, click the Print Preview button. |
| 14 | To adjust the orientation of the page, click Setup, in the Orientation section click Portrait, and then click OK. |
