Working with Charts

Adding a Chart to a Document

1 To insert a sample chart and datasheet at the bottom of this document, click the Insert menu, point to Picture, and then click Chart.
2 To move the datasheet window out of the way, point to the title bar of the datasheet window, hold down the left mouse button, drag the datasheet into the upper-right corner of the document window, and release the mouse button.
3 To delete the sample data from the datasheet and chart, in the datasheet, click the Select All button (the gray box in the upper-left corner) and press the DELETE key on your keyboard.
4 To enter new headings for the chart, in the datasheet, click in the first cell in row 1 to the left of column A, type Morning, and then press the ENTER key.
5 Notice that pressing ENTER selects the next cell down. Type Early Afternoon, and press ENTER.
6 Type Evening, and press ENTER.
7 To scroll back to the top of the datasheet, click once above the scroll box on the vertical scroll bar.
8 To resize the datasheet window so that the selected cell in row 4 is visible without scrolling, point to the bottom edge of the datasheet window, hold down the left mouse button and drag down until the bottom edge of row 4 is fully visible, then release the mouse button.
9 To increase the width of the first column to fit the longest item in that column, position the pointer at the left edge of the heading for column A and when the pointer changes to a double-headed resize pointer, double-click the vertical line between column headings.
10 To enter data labels for the chart, in column A of the datasheet, click the cell above row 1, type Week 1, and then press the TAB key on your keyboard.
11 Notice that pressing the TAB key selects the next cell to the right. Type Week 2, and then press the TAB key.
12 Type Week 3, and press TAB.
13 Type Week 4, and then press ENTER.
14 To begin entering data into the chart, click the first empty cell under Week 1, type 24, and press ENTER.
15 To change the data in one of the cells, click the cell at the intersection of column B and row 3 (which contains 81), type 79, and then press ENTER.
16 To edit a single digit within a cell, in the cell at the intersection of column C and row 2, double-click between the two ones in the number 211.
17 Press the DELETE key, type 2, and then press ENTER.
18 To close the datasheet and deselect the chart, click the blank area to the right of the chart.

Modifying the Appearance of a Chart

1 To select the chart and thereby display the chart toolbar buttons, chart menu options, and the chart datasheet, double-click the chart.
2 To display more toolbar buttons at once, at the right end of the Standard toolbar, click the Toolbar Options down arrow and click Show Buttons on Two Rows.
3 To select from a list of chart types, on the Standard toolbar, click the Chart Type down arrow.
4 To change the chart type to an Area Chart, which compares data with areas of color instead of columns, in the Chart Type list, click the Area Chart button (first row, first button).
5 To move the datasheet out of the way, point to the title bar of the datasheet, hold down the left mouse button, drag the datasheet into the upper-right corner of the document window, and release the mouse button.
6 To give the labels for the weeks more space between them, making the chart easier to read, point to the sizing handle at the center of the right border of the chart, hold down the left mouse button, drag the sizing handle to the right until the chart aligns with the 6? inch mark on the ruler at the top of the document window, and release the mouse button.
7 To select the chart's plot area so that you can modify it, click anywhere in the chart, then click the chart's blank gray plot area.
8 To change the background color of the plot area, on the right end of the Standard toolbar, click the Fill Color down arrow and on the color menu that appears, click the Light Green color box (Row 5, Column 4).
9 To change the appearance of the middle series (Early Afternoon) area of the chart, click in the middle series (maroon color) area of the chart and then on the Standard toolbar, click the Format Data Series button.
10 On the Patterns tab of the Format Series dialog box, click the Fill Effects button.
11 In the Fill Effects dialog box, click the Pattern tab.
12 Click the 25% pattern (Row 4, column 1), and click OK.
13 To close the Format Data Series dialog box and see the new pattern applied, click OK.
14 To remove the horizontal gridlines from the chart, on the Standard toolbar, click the Value Axis Gridlines button.
15 To modify the appearance of several elements of the chart, click the Chart menu and then click Chart Options.
16 To display the maximum number of horizontal gridlines, in the Chart Options dialog box, on the Gridlines tab, in the Value (Y) axis area, click the Minor gridlines check box.
17 To change your selection to show fewer horizontal gridlines, click the Minor gridlines check box again (to remove the check mark) and then click the Major gridlines check box.
18 To move the legend to the top of the chart, click the Legend tab and then click the Top option.
19 To place a label next to each data series on the chart, click the Data Labels tab, click the Series name check box, and then click OK.
20 To increase the height of the chart, point to the lower-middle resize handle, hold down the left mouse button, drag the resize handle to the bottom of the document window, and release the mouse button.
21 To hide the legend, on the Standard toolbar, click the Legend button.
22 To show numeric values along with the graphic representation of this data, you can insert a data table below the chart. To do this, on the Standard toolbar, click the Data Table button.
23 To change the appearance of the new data table, on the Standard toolbar, click the Format Data Table button.
24 To change the color of the data table's gridlines, in the Format Data Table dialog box, click the Color down arrow and then click the Blue color box (Row 2, Column 6).
25 To change the font used in the data table, click the Font tab, and in the Font style box, click Bold Italic, and then click OK.
26 To hide the datasheet and deselect the chart, on the Standard toolbar, click the View Datasheet button and then in the document window, click at the end of the text Re: Our customer count estimates.

Importing Data into a Chart

1 To make the chart's datasheet appear, along with the toolbar buttons and menu commands for charts, double-click the chart.
2 To view columns E, F, G, and H in the datasheet, click anywhere on the datasheet, then press the RIGHT ARROW key on your keyboard five times.
3 To select cells in the first four rows in columns E through H, point to the first empty cell under column E, hold down the left mouse button, drag the pointer to the cell at the intersection of column H and row 3, and release the mouse button.
4 To import data from an Excel workbook into the selected cells, on the Standard toolbar, click the Import File button.
5 Double-click the Statistics folder, and then double-click the Customers file.
6 To import the data from the worksheet called weeks 5-8 (which is already selected) but prevent this data from overwriting your existing chart data, in the Import Data Options dialog box, click to remove the check mark from the Overwrite existing cells check box and then click OK.
7 Notice that the chart has changed to include the new data. To hide the datasheet, on the Standard toolbar, click the View Datasheet button.
8 To scroll down in the document so that you have room to expand the chart below, on the vertical scroll bar, click the Scroll Down button five times.
9 To increase the height of the chart, point to the resize handle at the center of the bottom edge of the chart, and when the pointer changes to a double-arrow resize pointer, hold down the left mouse button, drag the handle down about one inch, and release the mouse button.
10 To deselect the chart, click the blank area to the right of the chart.
