Sharing Project Information with Other Programs
Copying and Pasting Information
| 1 | To display only the summary tasks in the project, click the Project menu, point to Filtered For: All Tasks, and then click Summary Tasks. |
| 2 | To view the entire project at once, click the View menu and then click Zoom. |
| 3 | In the Zoom dialog box, click Entire project and then click OK. |
| 4 | To copy a snapshot of the Gantt Chart view into the Windows Clipboard, on the Standard toolbar, click the Copy Picture button. |
| 5 | In the Copy Picture dialog box that appears, in the Render image section, verify that the For screen option is selected and click OK. |
| 6 | To paste the snapshot of the Gantt Chart view from the Windows Clipboard into a Microsoft Word document, click the Start menu, point to All Programs, and click Microsoft Word. |
| 7 | Click the File menu, and then click Open. |
| 8 | The contents of the My Documents folder appear in the Open dialog box. Double-click the Southridge Video and Film Productions folder. |
| 9 | Click the Letter To Client Word document file, and click Open. |

Importing Information from Excel
| 1 | To import information from Excel, click the File menu and click Open. |
| 2 | In the Open dialog box, in the My Documents folder, double-click the Southridge Video and Film Productions folder. |
| 3 | Click the arrow to the right of the Files of type box, click once below the scroll box on the scroll bar, and click Microsoft Excel Workbooks. |
| 4 | Click the Sample Task List Excel file icon, and then click Open. |
| 5 | To begin using the Import Wizard, click Next. |
| 6 | To create a new map that will organize the way structured data from another file format is imported into Microsoft Project, verify that the New map option is selected, and then click Next. |
| 7 | Verify that the As a new project option is selected, and then click Next. |
| 8 | On the Map Options page of the Import Wizard, click the Tasks check box, verify that the Import includes headers option is selected, and click Next. |
| 9 | To identify the source workbook and specify how you want to map the data, click the arrow to the right of the Source worksheet name list and click Tasks. |
| 10 | To finish importing the data into Microsoft Project, click Next and then click Finish. |
Exporting Information to Other Programs
| 1 | To save project cost data to a text file, click the File menu and click Save As. |
| 2 | In the Save As dialog box, in the My Documents folder, click the Southridge Video and Film Productions folder and then click Open. |
| 3 | To change the file name, in the File name box, position the mouse pointer to the right of the existing text, hold down the mouse button, drag the pointer to the left until all text is selected, and then release the mouse button. |
| 4 | Type Short Film Costs. |
| 5 | A tab-delimited text file has fields that are separated by tabs and can be easily imported into virtually any data-crunching program. To save the project cost data as a tab-delimited text file, click the arrow to the right of the Save as type box, click once below the scroll box on the scroll bar, and click Text (Tab delimited). |
| 6 | Click Save. |
| 7 | On the first page of the Export Wizard, click Next. |
| 8 | Click Use existing map, and then click Next. |
| 9 | On this page of the wizard, you choose a map to organize the way fields are exported. Click Cost data by task, and then click Finish. |
| 10 | To open Notepad and view the text file, click the Windows Start menu, point to All Programs, point to Accessories, and click Notepad. |
