Using Visio with Office XP
Creating Visio Drawings in Office XP Files
| 1 | To start using Microsoft Word, on the Windows taskbar, click Start, point to All Programs, and then click Microsoft Word. |
| 2 | To begin opening a Word document, click the File menu, and click Open... |
| 3 | In the Open dialog box, double-click Garden Company, double-click Plans, and then double-click Proposal. |
| 4 | To remove the text that you want to replace with a Visio drawing, point just to the left of <Insert block diagram here>, hold down the mouse button, drag to the right until the entire text is selected, release the mouse button, and then press the DELETE key. |
| 5 | To insert a Visio drawing in place of the deleted text, click the Insert menu, and then click Object... |
| 6 | In the Object dialog box, on the Create New tab, in the Object type list, click once below the scroll box on the scroll bar, click Microsoft Visio Drawing, and then click OK. |

| 8 | To display shapes that are not currently visible in the Blocks stencil, position the mouse pointer over the scroll box in the scroll bar, hold down the mouse button and drag downwards until the Arrow box shape is visible, and release the mouse button. |
| 9 | To add the shape to the drawing page, on the Blocks stencil, point to the Arrow box shape, hold down the mouse button, drag the shape into the upper-middle area of the drawing page, and release the mouse button. |
| 10 | To add another Arrow box shape to the drawing page, on the Blocks stencil, point to the Arrow box shape, hold down the mouse button, drag the new shape to just below the first shape, and release the mouse button. |
| 11 | To scroll down the page, on the vertical scroll bar of the Word window, click the single down arrow once. |
| 12 | To expand the Visio drawing page area, on the lower edge of the Visio window, point to the middle selection handle and, when a double-headed pointer appears, hold down the mouse button, drag downwards about half an inch, and release the mouse button. |
| 13 | To center the shapes on the drawing page, click the Shape menu and click Center Drawing. |
| 14 | To quit Visio and continue working in Word, click to the right of the Visio drawing in the Word document. |
| 15 | To return to the Visio drawing so you can modify it, double-click the Visio drawing. |
| 16 | To label one of the shapes, click the top Arrow box shape, type Determine Scope, and then click the blank grid to the right of the selected shape. |
| 17 | To quit Visio and view the inserted drawing in the Word document, click the blank area of the Word document to the right of the Visio window. |
Embedding Visio Drawings in Office XP Files
| 1 | To select all shapes in the Visio drawing in order to embed the drawing in a Word document, click the Edit menu, and then click Select All. |
| 2 | To copy the selected shapes, click the Edit menu, and then click Copy. |
| 3 | To display the Word document where you will paste the Visio timeline, on the Windows taskbar, click the Proposal-Microsoft Word button. |
| 4 | To delete text in the Word document, point just to the left of <Insert timeline here>, hold down the mouse button and drag to the right until the entire text is selected, release the mouse button, and then press the DELETE key. |
| 5 | To embed the copied Visio drawing in the Word document, click the Edit menu, and click Paste. |
| 6 | To begin modifying the embedded Visio drawing, in the Word document, double-click the timeline drawing. |
| 7 | Notice that some of the Word menus and toolbar buttons have been replaced with Visio menus and buttons. To begin changing the color scheme of the timeline, click the Tools menu, and click Color Schemes... |
| 8 | To choose a new color scheme, in the Color Schemes dialog box, in the Choose a color scheme list, click Coffee, and then click OK. |
| 9 | To quit Visio and continue working in Word, click in the Word document below the drawing. |
| 10 | To save the embedded drawing in the Word document, on the Standard toolbar, click the Save button. |
| 11 | To switch to Visio, on the Windows taskbar, click Microsoft Visio. |
Linking Visio Drawings to Office XP Files
| 1 | To begin linking a Visio drawing to a Word document, click the Edit menu, and click Copy Drawing. |
| 2 | To display the Word document, on the Windows taskbar, click the Proposal- Microsoft Word button. |
| 3 | To delete text in the Word document, point just to the left of the blue text, <Insert block diagram here>, hold down the mouse button, drag to the right until the entire phrase is selected, release the mouse button, and then press the DELETE key. |
| 4 | To paste a link to the Visio drawing in the Word document, click the Edit menu, and click Paste Special... |
| 5 | In the Paste Special dialog box, click Paste link, notice that Microsoft Visio Drawing Object is already selected, and then click OK. |
| 6 | To have the linked drawing update automatically whenever the original Visio file is modified and saved, click the Edit menu, and click Links... |
| 7 | In the Links dialog box, notice that Automatic update is already selected, so click OK. |
| 8 | To modify the linked Visio drawing, double-click it. |
| 9 | To select all of the shapes on the drawing page, click the Edit menu, and click Select All. |
| 10 | To begin changing the color of all text in the drawing, click the Format menu, and click Text ... |
| 11 | To change the text color to red, in the Text dialog box, on the Font tab, click the Color arrow, click 2: (red), and then click OK. |
| 12 | To return to the Word document, on the Windows taskbar, click the Proposal - Microsoft Word button. |
